Austrian Administrator


We are looking for an Administrator for our Austrian Overseas Office in Saalbach, to support the Country Manager and get involved with all aspects of the ski operation.

Ideally you will have worked in the industry before and have a good understanding of how a season works. You need to be well organised and flexible to ensure that you meet your deadlines and have good communication skills, as you will be liaising with both guests and suppliers. Fluent conversational German is required.

Additionally you need to be computer literate (Word, Excel and Outlook) and have a clean driver’s licence.

The position will be based mostly within the Austrian office, but once a week you will be representing the Company and be responsible for coordinating the reps team at the airport.

Your Duties will include: financial and quality reporting, coordinating transfers and airport day, liaising with reps on paperwork, updating resort information and general admin, preparation and organization for peak season, invoice checking, liaising with UK office regarding guest requests and with Overseas Recruitment for new starters and leavers.

You will be reporting directly to the Austrian Country Manager.

MORE INFORMATION:

Financial and Quality Reporting - lLiaising with the reps and hotel mangers, regarding expenses and hotel accounts; recording this information in spreadsheets, and sending appropriate invoices and expenses through to UK office

Invoices - Checking these against vouchers and contracts, and liaising with suppliers regarding queries on invoices for accommodation, lift passes, ski school, ski rentals and hotel supplies.

Coordinating Transfers - Calculating how many coaches are needed; ordering coaches; allocating reps and producing transfer sheets for reps and coach companies; sending flight manifests to Salzburg Airport.

Peak Season - Closely involved with the pre-planning and double checking of all services (ski & après) required for the high season periods. Preparing info packs for peak season reps.

Airport Duties (Saturday) - representing the Company at Salzburg airport. Oversee departures and arrivals, coordinating reps and allocating roles, to ensure all aspects of the airport run smoothly for our guests. Collection of company mail and distribution of reps’ information / expenses. Liaise with Country Manager / coach companies in case of delays etc

Other duties
Liaising with Tour Coordinators in UK office to handle guest requests and service queries.
Liaising with Recruitment re. starters & leavers
Uniforms - Handing out, collection and logging of all company uniform and equipment
Resort Information, including Notice Boards, Guest Information Folders - make sure that reps are updating these to an acceptable standard
Paperwork - Managing the flow of essential reps paperwork and feeding back to the UK as required.

A Typical Week
Saturday – changeover, at airport
Sunday – Company Mail, expenses, prepare reports
Monday – transfer planning and ordering, invoice checking
Tuesday – day off
Wednesday – organising/ ordering any suppliers for coming arrival; transfers update
Thursday – finish all bills checking and send through to UK; chase reps/ hotel managers for any outstanding paperwork
Friday – finalise transfers, flight and transfer manifests, final organisation for changeover day.

General working Hours
48 hours per week. Lunch breaks and day off for skiing / boarding.
